Going from paper-based maintenance management to automated work orders (CMMS)

Axxerion converts clients from paper-based maintenance management and work order systems to complete CMMS automation resulting in significant savings.  The paper-based work orders are inefficient and error prone. In a peper-based setup, work orders are generated either manually or through a system on a daily basis. They are then printed, stacked and separated in groups for technicians and vendors.  This process already delays the distribution of work orders by at least a day.  The technicians stop at the office in the morning and pick up their work orders and then stop back at the end of the day to drop off their completed work orders. For vendors, it is even more difficult and time consuming to send out the work orders and get them back. Filled out manual work orders are inconsistent in terms of completeness and the details.


In Axxerion’s CMMS process, the work orders are automatically dispatched to a technician’s mobile device wherever they are.  As work is performed the status of the work orders are updated so that the management knows real time what is happening and the status of each technician and each work order.  Automated notifications and emails are automatically sent out as the work progresses.  A dynamic calendar of assignment called planboard helps manage the workload.  If something takes more than the allotted time, managers  simply drag the work orders to other resources to balance out the work load.


The CMMS automation savings are significant.  Technicians save on coming and going to the office. The idle time is minimized and the work load is balanced.  Purchasing and using parts is controlled and sped up. Notifications keep the parties informed of the activities and progress.  The savings create great ROI for automation.
